Eventex B2B Match Highlights: Lessons from Organizing Transformational Experiences with Laura Viilep

Did you miss the Eventex B2B Match this spring? Not all is lost, we are bringing you insight from the live sessions that took place during the online networking event, to help you discover new solutions and elevate your work. So, let’s dive into the world of globe-trotting events with Laura Viilep, head of Global Events at Mindvalley, who takes us on an exciting journey through the art of organizing international events that go beyond mere gatherings and conferences.

Globetrotting Events: Lessons from Organizing Transformational Experiences in 20 Countries

Laura’s presentation offers invaluable insight into the secret ingredients for crafting transformative experiences that have the power to change lives, combat loneliness, and ignite pure joy. She covers 3 areas, which are equally important for creating transformational events.

Experience

The first key lesson in that area is knowing your audience — why they would come to your event, what is the one thing they’re looking for, and what unites them.

For us at Mindvalley, this common feature is growth. Transformation, learning, so people who come to events are eager to improve their lives, they’re eager to connect with other like-minded people. So, that’s the glue that brings everyone and everything together.

Then comes giving your audience the spotlight, which improves the event ratings and feedback, be it through community activities, networking, and group facilitations where people get to meet each other.

What people really remember is the quality of the connections they made.

For destination events, the lesson is to inject culture, surprises, and fun, such as introducing local food, traditions, and even local holidays to celebrate as a group.

Logistics

The biggest part of logistics is the venue because this is where the magic happens. There is always give and take with venues since a venue is unlikely to check all the boxes.

You always need to work with what you have and get creative.

Logistics and planning also benefit from building long-term partnerships

Even though we change venues for the events often, we try to build long-term partnerships with AV, audio-visual vendors that have worked with us during multiple events. We even have photographers who come to our events around the world.

Embracing the technology is another lesson, including using AI.

Mindset

Never say never, teamwork, and taking care of yourself are some of the most important mindset lessons.

Teamwork is everything and event management is not for everyone for sure, so try to find people who really thrive doing this.
