Kalin’s session offers a behind-the-scenes peek into the logistics of Eventex Awards, and how Evalato helped the awards grow exponentially. The presentation also features applicable knowledge on streamlining awards management to amplify the impact of an awards program.

Setting up an awards program in Evalato  

Setting and launching a program in Evalato is a breeze, thanks to the software’s user-friendly interface and a string of features, including: 

• Customizable preconfigured templates that cut setup and launch times compared to starting from scratch.
• One-click clone option that copies the bulk of a project’s settings and comes in particularly handy for launching a new edition of an awards program. 

If you are inheriting a project from a past year from somebody else, you’re able to just clone their project, and then work on it and make the necessary changes for this year. That will save you a lot of time.  

Customizable front-end 

The Evalato dashboard conveniently features a link to the autogenerated awards webpage, giving you the option to keep track of how your program will look for your applicants at all times. Some customization options include: 

• The category structure and how it is displayed to the applicants 
• Branding opportunities for sponsors 
• Discounts and promo codes to increase the incentive for people to submit 

The jewel in the crown, however, is the option to embed the awards registration form on your own website. 

This helps increase entries because when you embed the registration form on your website, the feel of the program is really much more native, more casual. People are familiar with the website they’re visiting so it’s a really cool feature that has helped Eventex with a 93% in entries. 

The application process 

Creating application forms  

Evalato’s customizable application forms are very easy to create, and one form can be assigned to as many categories as you see fit. Some benefits of Evalato’s application form builder include: 

• New as well as existing fields. In the case of the latter, your are able to use fields you have already created for other application forms, complete with their respective settings
• Multiple field options, including images, video, media embeds, file uploads, etc., all completely customizable. 

Top-notch applicant portal 

Evalato’s next-gen applicant portal gives applicants the option to work on their entries and keep track of them, color-coded based on their status (draft, submitted, approved, etc.). Applicants can also work on their entries whenever convenient and submit only when ready. 

The “Copy from application” option meanwhile enables applicants with multiple entries to reuse relevant information they have already filled it once (e.g. company information, logos, etc.) 

We are trying to provide as less of friction as possible for people applying in order to achieve this 99% submission rate [seen in Eventex Awards 2023].    

Managing applications 

From the back end, it’s really easy to keep track of applications, regardless of their status. It is up to you to determine whether submitted applications get automatically approved or if you would rather go through them manually to make sure they fit your program’s requirements. 

It’s based on your preferences, on your time management. The freedom is in you to make that decision as good as possible for you.
